FMCG distribution billing workflow (orders to collection)
FMCG distribution billing has to keep pace with daily retailer orders, van routes and thin margins. A typical day looks like this:
- Capture every order from salesmen, phone calls and messages in one order list, with the retailer, items and delivery date.
- Check stock before you promise fast movers. Cut short items on the order so the invoice matches what you can dispatch.
- Dispatch and bill together: raise the GST invoice when goods leave, so stock, the retailer's account and GSTR-1 stay in sync.
- Move goods with the right document: tax invoice for supply; delivery challan for job work, stock transfer or approval cases under Rule 55. Consignments above the value limit generally need an e-way bill — check with the e-way bill checker.
- Collect on schedule: track retailer-wise outstanding in accounts and follow up slow payers before credit stretches your cash.
Wholesale buyers also need your invoices in their GSTR-2B on time, so accurate, timely GSTR-1 filing is part of the service you give them. See also our pages for distributors and wholesalers if your trade is broader than FMCG brands.

FMCG after GST 2.0
The September 2025 rate rationalisation hit FMCG more than most sectors:
- Soap, shampoo, hair oil, toothpaste, toothbrushes and shaving products: 18% to 5%
- Packaged foods such as biscuits, namkeen, sauces, pasta, noodles, chocolates, coffee, butter and ghee: 12%/18% to 5%
- Sugar-sweetened and aerated beverages: 28% to 40%
- Packaged drinking water in 20-litre bottles: 12% to 5%
Distributors had to update item rates, handle old-MRP and new-MRP stock side by side, and correct pending orders. Keep item rates up to date and check them against the HSN-wise notification.
