How to Choose Billing Software for a Small Business in India

Ten practical steps, from listing your needs to running a real trial, so you pick software you won't outgrow.

Last updated: 3 October 2026

Choosing billing software feels simple until you realise how many options there are: free apps, desktop software sold by local dealers, cloud subscriptions and full ERPs. The wrong choice costs more than the subscription; it costs hours of re-entry and data stuck in a system you have outgrown. Here is a practical way to choose, written for Indian shop owners and traders.

1. Start with how your business actually works

Before you look at any software, write down:

  • How many bills you make on a busy day, and how many items are on a typical bill.
  • Whether customers are mostly consumers (B2C), businesses (B2B) or both.
  • How many items (SKUs) you stock, and whether they have barcodes.
  • Who will use the software: you, counter staff, an accountant.
  • Where you take orders: counter, phone, messages, online.
  • Whether you are GST-registered, under composition, or not registered.

2. GST compliance is non-negotiable

Whatever you choose must produce invoices with all the details Rule 46 requires (GSTIN, HSN/SAC, place of supply, tax split), number them consecutively, apply IGST to inter-state sales and keep up with rate changes such as GST 2.0. Ask how the software helps with GSTR-1 and GSTR-3B, because since July 2025 errors in GSTR-1 can't be fixed in GSTR-3B.

3. Inventory: the feature that pays for itself

Billing without stock tracking is a calculator with a printer. Good software updates stock with every sale and purchase, supports barcodes, and shows what is slow-moving. Ask how returns, damaged goods and stock corrections are handled.

4. Cloud or offline: decide honestly

Cloud / browser softwareOffline desktop software
Needs internetYesNo (for billing)
Install and updatesNone; automaticInstalled and updated per PC
Use on phone and from homeYesLimited or via add-ons
Data if the PC failsNot stored only on that PCDepends on your backups

If your shop has a reasonable internet connection (with a mobile hotspot as backup), cloud software is simpler to run. If you regularly have no connectivity for hours, desktop software may suit you better.

5. Compare the total cost, not the headline price

Billing software is priced monthly, yearly or as a "lifetime" licence plus annual renewal. Add up the real three-year cost: subscription or licence, renewals or AMC, extra users, add-ons (like e-invoicing or an online store), hardware, and the time you spend on setup and training. A lower sticker price with paid add-ons can cost more than an all-inclusive plan.

6. Think about selling online now, not later

Customers increasingly want to see your products and order from their phones. Some billing software includes an online store; others sell it as an add-on or a separate product. A store connected to your billing and inventory saves you re-entering online orders.

7. Your data, your control

Ask whether you can export your items, customers and transactions, what happens to your data if you stop paying, and who can access it. Never choose software that holds your data hostage.

8. Support and language

Ask how you get help (phone, WhatsApp, email), in which languages, and during which hours. Software your staff can use in their own language reduces mistakes.

9. Run a real trial

  1. Shortlist two or three options.
  2. Add 20 of your real items, with correct HSN codes and rates.
  3. Make 10 real bills, including a B2B bill, an inter-state bill and a return.
  4. Check the stock and the GST summary afterwards.
  5. Ask your counter staff which one they would rather use.

10. Score your options

Score each option from 1 to 5, multiply by the weight and add up
